Campus Council

The Campus Council governs and guides the operations of TinkerHub’s campus communities, acting as a bridge between student leaders and the TinkerHub Foundation. The Council ensures that learning continues to happen meaningfully across campuses and that the overall program evolves based on feedback and strategic inputs.

The 2025–26 structure introduces a refreshed, functional approach—designed for agility, transparency, and accountability, while still empowering student leadership and strengthening the campus network.


Council Structure – Campus Community 2025–26

Total Members: 8

  • 3 Alumni Members Permanent members among past leads nominated by the TinkerHub Foundation

  • 3 TinkerHub Foundation Employees Permanent members to maintain strategic continuity

  • 2 Current Campus Lead Rotates every quarter to bring current on-ground insights There will be one representative each from engineering and arts and science campuses.

Chairperson: One council member will be selected as Chair for a 3-month term. They are responsible for leading meetings, setting agendas, and ensuring smooth council operations.


Nomination & Rotation

  • The Campus Lead will be nominated by the council. The seat rotates every quarter, ensuring fresh and active campus voices.

  • Alumni Members is nominated by TinkerHub Foundation and will serve the entire tenure as permanent members.

  • Foundation team members are permanent to oversee long-term strategy and support.


Purpose & Responsibilities

  1. Overseeing and ensuring the smooth running of campus communities and activities held, including study jams, major learning programs, community initiatives etc.

  2. Bi-monthly meetings with the campuses as per division across each member of the council (alumni and foundation)

  3. Designing and ensuring that the Monthly Council Digest (detailed in 4. Visibility + Actionability) gets sent to wider community every month.

  4. Host one open community session (aka TownHall) per quarter to remain connected to the community.

  5. Have co-ownership of designing and executing milestone programs like selection camp, leadership camps, graduation day etc and learning programs such as Useless Projects, Beyond the Blueprint workshop series etc

  6. Address any concerns put forth by campus communities and be responsive to [email protected].

  7. Keep a regular check on campus dashboards and reports submitted by campuses. Ensure that these data are used while in constant conversation with your assigned campus communities. (Detailed in 6. Learning Activity Report Review)

  8. Have co-ownership of Pulse Check System (as detailed in 3. Pulse Check System) and analyse the survey results from leads to reflect on how to help them further.

  9. Attend the meetings(as detailed in meeting cadenced) without fail and assure participation in discussions.


Meeting Cadence

  • Biweekly Online Meetings Held every two weeks to review progress and align on priorities

  • Bi-Monthly Offline Meetings For deeper strategy sessions, review of feedback, and collaborative problem-solving

2. Agenda-Driven Meetings

  • Week 1 Call → Strategic alignment: what's working, what's stuck

  • Week 2 Call → Decision-making and solving bottlenecks

  • Async check-ins will be used to reduce meeting fatigue for minor updates


3. Pulse Check System

Campus leads will receive a monthly 3-question survey A monthly 3-question survey will be shared with campus leads to gather sentiment, blockers, and highlights. These insights will be discussed in monthly offline meetings and translated into actionable steps.

Ensure that documentation is done and records are maintained on a rotational basis.


4. Visibility + Actionability

  • A meeting minutes will be shared with the wider community

  • It will include progress updates, action points, key learnings, and success stories

  • This builds transparency, fosters trust, and highlights momentum


5. Community Presence

  • Council members will receive a Council Badge or “Fellows-in-Council” tag


6. Learning Activity Report Review

  • Council will review all event and learning reports submitted by campus learning coordinators and hosts

  • Constructive feedback will be given to maintain quality and promote continuous improvement


Decision-Making & Issue Resolution

  • All decisions related to campus operations, performance, and guidelines are made collectively by the Council

  • Any issue involving campus leads that requires external intervention can be escalated to the Council via [email protected]

  • Violations of community guidelines or code of conduct fall under the Council’s jurisdiction. Investigation, resolution, and any remedial action will be managed directly by the Council

  • Complaints may be submitted via email; informant details will remain confidential

  • In the event of internal decision conflicts, voting will be used

  • In rare cases, the Council may be dissolved by the TinkerHub Board following due process


Continuous Support & Communication

  • Council will continue to serve as the anchor for support and guidance across the campus network

  • Campus leads can tag council members when in need of assistance or direction in Discord.

  • Minutes of Meetings (MoMs) will be recorded and shared internally to track accountability
